Privacy Notice

This notice explains what DockProof processes, why it is needed, and the controls available to workspace users.

1. Information we process

DockProof processes account details such as name and email address, organization and subscription information, claim details, files and evidence you choose to upload, extracted fields and citations, claim assessments, proof packets, audit records, and basic technical information needed to operate and secure the service.

2. Why we process it

We use this information to authenticate users, keep workspaces separated, store and review evidence, calculate Proof Readiness, generate requested packets, provide account support, process subscriptions, prevent abuse, troubleshoot failures, and maintain security and auditability.

3. Service providers

DockProof relies on infrastructure and service providers to host the application, store workspace data, authenticate users, process payments, and deliver product support. Stripe handles payment information; DockProof does not store raw card numbers. When DockProof Guide is used, limited account and claim context may be sent to the model provider to answer the request. Raw uploaded documents are not sent through that support feature.

4. Workspace separation and security

Tenant-owned records are scoped to an organization and protected by application authorization and database row-level security. Privileged server credentials are reserved for narrowly defined server-side operations such as first-workspace provisioning and webhook processing.

5. Retention

We keep account and workspace information for as long as needed to provide the service, maintain audit and billing records, satisfy legal obligations, and resolve security or support issues. Retention can vary by record type. Do not upload records you are not authorized to store in DockProof.

6. Payments

Subscription checkout and billing management are provided by Stripe. Stripe receives the payment and billing details you enter on its hosted pages and processes that information under its own privacy terms. DockProof receives identifiers and subscription status needed to grant plan access.

7. Email

Product, support, and account email may be sent and received through our email delivery provider. Delivery events such as sent, delivered, bounced, complained, failed, and received may be recorded to operate and protect the service. Marketing messages will include the required preference or unsubscribe controls.

8. Your choices

You can update billing details through Stripe Customer Portal and can stop using the service at any time. Signed-in users can use DockProof Guide for account help. A production support address for privacy and data requests will be published before public email campaigns begin.

9. Changes to this notice

We may update this notice as DockProof changes. The date at the top shows the latest revision.
